Ms Access


Ms-Access is software and is a part of Microsoft office Software Corporation. It is used by Clark or Hotel Manager even any company’s labor maintains. It is also called Relation Data Base Management System (RDBMS), because it can be store related information individual person with separately.
         
How to open Microsoft Access?
  1. Click on start button.
  2. Click on All programs.
  3. Click on Microsoft Office.
  4. Click on Microsoft Office Access 2007.
  5. Click on New Blank Database.
  6. Type the Database name.(Like-BDO Office)
  7. Click on create option.
Immediately the Database will be open.

How to create field name?
After creating Database there you will be find a Table1: Table option appears in the left side.
  1. Right click on Table option.
  2. Click on Design View option.
  3. Type The Table name.
  4. Click on Ok.



Immediately you will be find a table design box appears in the screen. Then you type Field name, Follow the steps:-

 After completed Field Name.
  1. Click on File symbol.
  2. Click on save option.

  1. Click on Create Menu.
  2. Click on Table option.
Immediately a Table option appears in the left side.
After you can be create table design option same system.

How to open table?

  1. Right click on Table Name.
  2. Click on open option.
  3. Fill up the table box.

How to insert picture in table?
  1. Right click on the table picture box.
  2. Click on insert object.
  3. Select Microsoft Office Word Document option.
  4. Click on Ok.
  5. Click on insert Menu.
  6. Click on Picture symbol.
  7. Click on My Computer.
  8. Click on picture drive.
  9. Select a picture.
  10. Click on Insert option.
  11. Click on close ( X ).

 

How to show again design view from current table?

  1. After open the table.
  2. Click on View Option.
  3. Click on Design View.
  4. Then you will be find again appears design view of the Table.
  5. Set the Field Name and chose Data Type.
  6. Click on File Menu.
  7. Click on save option.
  8. Click on close option  X

 

How to create Form with your table?

  1. Select the table which you want show by Form.
  2. Click on Create Menu.
  3. Click on Form option.
  4. Immediately you will be found a form dialog box appears in the screen.
  5. Click on Format Menu.
  6. Chose the Form style form the Right corner side.
  7. After you can be close the Form chart.

 

How to create Report?

  1. Select the table which you want creates Report.
  2. Click on Create Menu.
  3. Click on Report option.
  4. Immediately you will be found a report dialog box appears in the screen.
  5. Click on Format Menu.
  6. Click on AutoFormat option.
  7. Chose the Report style.

 

How to create Query from the Table?

  1. Select the table which you want to views Query.
  2. Click on Create Menu.
  3. Query Wizard.
  4. Click on Simple Query Wizard.
  5. Click on Ok.
  6. Chose the table which you want to create Query from the Table/Queries.
  7. Click on > (Greater then).
  8. Which you want to show to with Query.
  9. Click on Next.
  10. Click on Finish.

 

How to Insert a New Record?

  1. After open your Data Base.
  2. Open the Table.
  3. Click on ‘Home’ Menu.
  4. Click on New option.

 

How to delete a record?

While working in datasheet view, you may wish to delete an record .You can follow the following procedure for delete any record.
  1. Select the record to delete.
  2. Click on Home menu.
  3. Click on Delete option.
  4. Click on Yes option to be deleted the record.

 

How to delete group of record?

From the data base created inside Access, You can even delete many records together. To delete a group of records together, you may follow the steps:-
Select the records together which you wish to delete.
            For this, place the record pointer at the first record of the group o be deleted.
After this, go to the last record of group by pressing the Shift key and click on the last record of that group.
  1. Click on Home Menu.
  2. Click on Delete Button.
  3. Click on Delete Record option.
            A worming will be given by Access in confirm before deletion of records.
      4.  Click on ‘Yes’ option deletes the record.

 

How to search data?

  1. Open the Table
  2. Click on Home Menu.
  3. Click on Find option.(in the right corner side)
  4. Type the word which you want to find in the Find what box.
  5. Set Whole Field option in the Match box.
  6. Set All option in Search box.
  7. Click on Find Next option.

 

How to replace data?

  1. Open the Table.
  2. Click on Home option.
  3. C lick on Replace option.
Immediately a Find and Replace box appears in the screen.
Type the wrong word in the find what box which you want to change.
  1. Type the new word in the Replace With box.
  2. Click on Look in box.
  3. Set the table name.
  4. Click on Mach button.
  5. Set the Whole Field option.
  6. Set All option in Search.
  7. Click on Find Next.
  8. Click on Replace.

 

Changing the order?

  1. Click on the Field whose data you want to sort.

    Click on Home Menu.
  3. Click on Ascending’ or ‘Descending’ option

    How to hide column?

    1. Open the Table.
    2. Right click on any column field name.(Like First name/Address)
    3. Click on Hide Columns option.
    Immediately you will be found that this Field Name would not remain in the screen.

     

    How to unhide from hide column?

    1. Right click on any column field name.
    2. Immediately you will be Find a list dialog box appears.
    3. Click on Field Name which you want again show.
    4. Click on close.

     

    How to import Excel program?

    1. After opening the Data Base.
    2. Click on External Data.
    3. Click on Excel Symbol.
    4. Click on Browse option.
    5. Chose the Excel file.
    6. Click on open.
    7. Click on Ok.
    8. Click on Next.
    9. Click on Next.
    10. Click on Next.
    11. Click on Next.
    12. Type the Import Table name.
    13. Click on Finish.
    14. Click on Close.
    15. Immediately you will be found Import Table name appears in the left side.
    16. Right click on the table.
    17. Click on open.

     

    How to import Access program?

    1. After opening the Data Base.
    2. Click on External Data.
    3. Click on Access Symbol.
    4. Click on Browse option.
    5. Chose the Access file.(That you created ago)
    6. Click on open.
    7. Click on Ok.
    8. Click on Ok..
    Immediately you will be found Import Table name appears in the left side.
    Right click on the table.
       9.   Click on open.

    How to use Ms Access in any Hotel?
    Data Base Procedure Same System.
    Set the Hotel Name in Blank Data Base.
    After set the Table Field Name within Design View option.
